This Privacy Policy explains what information Chief Construction Agent ("CCA," "we," "us," or "our") collects when you use our website at https://chiefconstructionagent.com and the CCA chatbot (together, the "Service"), how we use it, who processes it for us, and the choices you have. It is written in plain English. It works together with our Terms of Use.

1. Summary

The short version. We collect your account email, your chats, any files you upload, and basic billing status. Payments are handled by Stripe through our platform provider, Pickaxe, so we never see your card number. Our website uses Cloudflare Web Analytics, which does not use cookies. Pickaxe may use your chat questions and answers to train its AI models (it says it does not train on uploaded documents), so do not put confidential or identifying project information in your chats. We do not sell your information, and we never share it with contractors.

2. What We Collect

  • Account information. The email address you sign up with, and your name if you provide it. Accounts are created and managed on Pickaxe.
  • Chats. The questions you type, the answers the Service generates, and related details such as when messages were sent and how many you have used.
  • Uploaded files. On Plus, the photos, plan sheets, contracts, change orders, submittals, and other files you upload, and the information in them.
  • Payment information. Subscriptions are billed through Pickaxe, and payments are processed by Stripe. We never see or store your full card number. We may see limited billing details, such as your plan, your billing email, and whether a payment succeeded.
  • Website analytics. We use Cloudflare Web Analytics to count page views and understand how the site is used, for example which pages are visited, the referring site, and general browser and device type. Cloudflare Web Analytics is cookieless: it does not set cookies or track you across other websites.
  • Messages you send us. If you email us, we keep your email address and what you wrote so we can respond.

Our website itself does not set cookies. Pickaxe and Stripe may use cookies or similar technologies on their own pages, such as the chat, login, and checkout, under their own policies.

3. How We Use It

We use your information to:

  • answer your questions and provide the Service, including uploads on Plus;
  • run your account, process your subscription, and send account and billing emails, such as receipts and renewal or cancellation notices;
  • respond to your requests and support questions;
  • maintain, secure, and improve the Service, for example by reviewing where answers fell short;
  • enforce our Terms of Use, including usage limits and the ban on automated access and scraping; and
  • meet legal, tax, and accounting obligations.

4. Who Processes It

We are a small service, and we rely on a few trusted providers to run it. Each one processes your information under its own terms and privacy policy:

  • Pickaxe hosts the chatbot, accounts, chat history, and uploads, and manages subscriptions. See the Pickaxe Terms of Service and Pickaxe Privacy Policy.
  • Stripe processes payments made through Pickaxe. See the Stripe Privacy Policy.
  • AI model providers. Pickaxe sends your questions, and on Plus the content of your uploads, to the underlying AI model providers it uses to generate answers. Their terms on data use and retention apply.
  • Cloudflare hosts this website and provides cookieless Web Analytics. See the Cloudflare Privacy Policy.
  • Google Fonts. Our pages load the Inter typeface from Google Fonts, so your browser sends Google a request, including your IP address, when a page loads.

5. Model Training by Our Platform Provider

The Service runs on Pickaxe, and we are not on Pickaxe's Pro tier. Under Pickaxe's Terms of Service (Section 6, "User Content," and Section 17, "Model Training"), Pickaxe may use interaction data from our plan to train Pickaxe's models. That includes the questions you type (prompts) and the answers the model generates. Pickaxe states that this does not include uploaded documents, and that it will never train on material from uploaded documents.

What this means for you: treat your chats as information that may be used to train AI models. Do not enter confidential information, or details that identify a person, company, project, or property, in your chats. Describe the situation in general terms instead, for example "a 10,000 SF office build-out in Florida" rather than a project name, address, or company name. If you upload documents on Plus, remove anything you are not allowed to share.

Once a chat has been used for training, we may not be able to have it removed from Pickaxe's models.

6. Who Can See Your Conversations

We, and support staff of our platform provider, Pickaxe, may be able to view your conversations and uploads. We look at them only to operate, support, secure, and improve the Service, and to enforce our Terms of Use.

7. What We Don't Do

  • We do not sell your personal information.
  • We do not share your information with contractors or refer your project to anyone. This service is independent and never recommends or steers work to any contractor.
  • We do not show your chats or uploads to other users.

We may disclose information if we believe it is reasonably necessary to comply with law or legal process, to enforce our Terms of Use, or to protect the rights, safety, or property of our users, the public, or us. If the Service is ever sold or transferred, your information may transfer with it, subject to this policy.

8. How Long We Keep It

We keep account information, chats, and uploads for as long as your account is active and as long as needed to provide the Service. After your account closes, we keep only what we need to resolve disputes, enforce our Terms of Use, and meet legal, tax, and accounting requirements, then delete it. Billing records may be kept longer where tax law requires. Pickaxe, Stripe, AI model providers, and Cloudflare keep information under their own retention policies.

9. Your Choices and Deletion Requests

  • Deletion and access. To ask for a copy of your information, a correction, or deletion of your account, chats, and uploads, email contact@chiefconstructionagent.com from the email address on your account. We will confirm your request and respond within 30 days. Some information may be kept where the law requires it, and we cannot remove data that has already been used to train a third party's models.
  • Cancel anytime. You can cancel your subscription at any time. Cancelling does not by itself delete your account or chats, so ask us if you want them deleted.
  • Email. If we send marketing emails, each one will include a way to unsubscribe. Account and billing emails are part of the Service.
  • What you share. The simplest privacy control is what you type and upload. Leave out names, addresses, and confidential details.

10. Security

We use reputable providers and take reasonable steps to protect your information. Pickaxe states that it encrypts data at rest and in transit. No online service is perfectly secure, so we cannot guarantee security. If you believe your account has been accessed without permission, contact us right away.

11. Children

The Service is for adults using it for business. It is not intended for anyone under 18, and we do not knowingly collect personal information from anyone under 18. If you believe someone under 18 has given us information, contact us and we will delete it.

12. Florida Law

Chief Construction Agent is based in Florida, and this policy is governed by Florida law and applicable U.S. federal law. Your information is processed in the United States by us and our providers. If you use the Service from outside the United States, you understand your information will be processed in the United States.

13. Changes to This Policy

We may update this policy from time to time. When we do, we will post the new version on this page and change the "Last updated" date above. If a change materially affects how we use information we already have, we will tell you by email or through the Service before it takes effect.
